Set-up fees
All DomiData systems will need to be set up with entire postcode address database for your area. This is required in order to make sure that any imported data or new contacts are unique and consistent with other database systems.
There are other good reasons for starting off with the complete address list. For example, in addition to avoiding duplicates in your system, as your projects grow and succeed in marketing services to a significant proportion of the household population, you will be able to measure their impact in the context of the total number of households. This could be by street, postcode area, ward, local authority area or region.
Two factors will affect the set-up fees. Firstly, what you need the system to do for you. We have now already set up a number of energy efficiency projects and have built a high level of 'core functionality'. This means that you will have the ability to run queries on all the data in your system, make online forms available to your partners, run reports, import installer prices and do a host of other things. Set-up fees are therefore not for developing completely new features but for converting your existing data into DomiData. If you want a fresh start and do not have any historical data that you want to be available in DomiData then the charges are likely to be towards the lower end of the scale.
Secondly, there may be some specific features or functionality that you wish to include as part of the set-up for your system. Depending on what you need, this work will affect the costs.
Your organisation and your projects are unique. DomiData can be configured to meet your requirements, however until we have sat down together and gone through a two-way process - that is, you exploring the system and understanding its generic capabilities, and us appreciating your expectations and requirements in full detail - we will not be able to provide a costed proposal for set-up.
Annual fees
We will need to levy an annual fee to cover the following elements of our service
- Support: Email and phone support during office hours.
- Maintenance and updates: Testing the integrity of your data, updating SAP and other derived data elements, daily secure server off site back up
- Hosting: Our servers are located off-site in a highly secure environment using a hosting service that also provides similar services to
- Management: We provide management support to the engineers and developers that we employ to run DomiData
- Client requests: When you sign off the system following the set-up phase of your project, there will always be one or two small things that you will have overlooked. In future years if you require minor changes to your system we will do our best to accommodate any requests received.
DomiData exit
If you decide at any point that DomiData no longer meets your requirements you simply inform us at the time that we would normally invoice for the annual fees. Fees are charged from April to March or part year during the first year so the invoice point would normally be towards the end of February. When the service expires at the end of March we will simply copy all your data to a CD or DVD using a common data structure and when you have received and backed up your data we will then seek your permission to delete all records from our system.
